Job Summary

The Construction Job Site Clerk handles day-to-day field administration, data entry, and compliance tracking directly from the active project job site. This role serves as the central administrative hub for the project, taking full ownership of payroll processing, equipment tracking, rigorous document control, and the on-site onboarding of new hires.

Key Responsibilities

Payroll & Equipment Tracking

  • Enter payroll: Collect, verify, and input daily labor hours for field crews and subcontractors into the company payroll system to ensure timely weekly processing.
  • Track equipment hours: Record and log active operation and idle hours for heavy machinery on-site, assigning costs to correct job codes for accurate project budgeting.

Job Site Document Control

  • Manage project documents: Organize, distribute, and archive critical site files, including RFIs, submittals, change orders, and meeting minutes.
  • Update field blueprints: Ensure the field team always operates using the most current set of construction drawings and specifications.
  • Log site deliveries: Verify delivery tickets against physical materials received, checking for damages and routing receipts to accounting.

On-Site New Hire Onboarding

  • Process new hires: Coordinate on-site onboarding for incoming field laborers and trade professionals, ensuring all federal, state, and corporate employment paperwork is accurately completed.
  • Verify safety credentials: Review and log mandatory safety certifications (e.g., OSHA cards) and set up new team members in the site timekeeping system.

Required Qualifications & Skills

Experience & Education

  • High school diploma or equivalent required; vocational training or college coursework in construction management or accounting is a plus.
  • 1–2 years of experience in a clerical or administrative role, with direct experience working on active construction field sites highly preferred.

Qualifications:

  • Must be at least 18 years of age.
  • Must be able to complete a pre-employment drug screen with a “Negative” result.
  • Must be able to complete a post- offer physical with a “Capable” result
  • Eligible to work in the United States
  • Be willing to work outdoors in extreme temperatures, both hot and cold
  • Experience preferredWork Environment:

This role operates in both office and active construction site environments. Candidate must be able to perform site walks, attend field meetings, and ensure on-site safety and compliance.
